What Should a Heat Pump Quote Include?
A useful heat-pump quote should explain what will be installed, why it has been proposed and what you will pay. Supporting documents may hold some of the detail. Together, they should give you a clear picture of the work and any decisions still outstanding.
A clear equipment specification
Specific equipment details make comparisons more meaningful.
- Exact heat-pump make and model.
- Cylinder details, where applicable.
- Controls.
- Major accessories or supporting equipment.
- Proposed locations.
The basis of the design
The quote may reference a separate design report. Ask for it if it has not been supplied.
- Heat loss for the property and individual rooms.
- Design indoor and outdoor temperatures.
- Heating flow temperature.
- Radiator or underfloor-heating suitability.
- The basis for selecting the proposed heat pump.
An itemised description of the work
For each significant item, establish who handles it and whether it is included, excluded or still provisional.
- Equipment installation.
- Radiator and pipework changes.
- Electrical work.
- Old-system removal.
- External works and access.
- Commissioning, making good and handover.
A price you can interpret
If funding is assumed, ask what happens if eligibility or the award differs from the proposal.
- Total installation price.
- Taxes included or separately stated, as applicable.
- Funding or discount shown separately.
- The amount you are expected to pay.
- Allowances and optional extras.
- Circumstances that could change the price.
Practical terms
- Quote validity.
- Deposit and payment stages.
- Cancellation terms.
- Indicative installation timing.
- Responsibilities before work starts.
- Warranty and aftercare arrangements.
Record what is included before comparing totals
For each item below, write the quote page or supporting document, the status, who is responsible and any separate cost. Use Included / Excluded / Provisional / Not stated. Not stated is not included: it means you need written clarification, not that the work is definitely excluded.
- Electrical supply and controls: who arranges the electrician and which work is priced?
- Radiators and pipework: identify the rooms, replacements and design evidence.
- Cylinder and equipment: record the specified items and any retained equipment.
- External work and removal: check access, base, pipe routes, old-equipment disposal and making good.
- Commissioning and handover: record testing, controls guidance, documents and warranty information.
A provisional allowance is not a confirmed final cost. Ask what it covers, what could change it and when a firm price will be available. An explicit exclusion needs an owner and a cost before you can compare the complete scope. Print this page or keep a private note; this guide does not collect your answers.
A clarification template for your installer
Please mark each scope item as included, excluded, provisional or not stated. For exclusions, confirm who arranges the work and whether a separate price is available. For allowances, explain the assumptions and how changes are agreed. Please identify the supporting design documents, confirm the remaining survey decisions, and send a revised scope and payment schedule before I decide.
This record helps identify missing evidence. It does not establish a fair price, validate heat-pump sizing or certify the installation.

Frequently asked questions
Is a short quote always a bad quote?
No. It may refer to detailed supporting documents. Ask for the complete proposal.
What does subject to survey mean?
Some details may change after assessment. Ask which parts remain uncertain and when the final design and price will be confirmed.
Are radiator upgrades always required?
No. Their suitability depends on each room’s heat requirement and the proposed system temperatures. Ask for the assessment.
Can an omitted item be treated as included?
Do not assume that it is. Request written confirmation.
